What the price includes, and what we arrange around it on request

Arrangements and extras on a private phinisi in Labuan Bajo come in two kinds: what the Neptune fare already holds, such as the pickup, three meals a day and snorkelling gear, and what we arrange on request, quoted before it is added. Nothing here carries a price.
Arrangements around the voyage
Start with what the fare holds. Neptune's price covers the boat and its crew, and seven air-conditioned double cabins with en-suite bathrooms. It covers three meals a day with an afternoon coffee break and a snack. Snorkelling gear, linen and towels are in it, and so is the transfer between your hotel or airport and the harbour.
Around that sit the arrangements. A guide and documentation on a private charter, a larger vehicle, a dietary note for the kitchen, a birthday dinner, an event on deck: each reaches you as a written line with a figure on it. Nothing is added without that line.
This page explains how each arrangement works and what it asks of you. Prices are not printed here, because the figure depends on the date, the head count and the stops.
Free pickup
Included in Labuan Bajo: a driver takes you from the airport or your hotel to the harbour for the 10:00 departure and back after the voyage. A private charter sets the time around your flights.
A bigger party needs a bigger vehicle. A van with up to 12 seats, or a coach, is available on request and quoted before it is added.
Meals, dietary needs and your own drinks
Three meals a day come with an afternoon coffee break and a snack. The menu is confirmed closer to the date, and the kitchen cooks to what the party has said it needs.
Dietary needs go to the kitchen in writing. We pass on vegetarian, allergy and halal requirements and ask for confirmation, and nothing is certified or guaranteed. A guest with a severe allergy should tell us and carry their own medication.
Alcohol is excluded from the fare. Guests can bring their own drinks and tell the crew on boarding. We confirm before sailing whether a refrigerator or ice is available for your drinks. Soft drinks and water follow the same rule: ask us.
Airport and hotel transfers, and larger vehicles
Pickup in Labuan Bajo is included. A driver collects you from the airport or your hotel, takes you to the harbour for the 10:00 departure, and returns you after the voyage. On a private charter the pickup and the boarding can be set around your flights.
A larger party needs a larger vehicle. A van with up to 12 seats, or a coach, is available on request, and we quote it before it is added. Tell us the head count and the luggage. Both matter.
Pickups from Lombok are possible only at agreed meeting points, and the driver's contact reaches you on WhatsApp before you sail. If your flight is delayed, message us on WhatsApp and the driver adjusts.
Events on deck: size, length and space
Events on deck depend on three numbers: the size of the party, the length of the evening and the space the deck can spare. Neptune's long outdoor table seats a party together, and the foredeck holds sunbeds. A birthday dinner or a toast at sunset each fits that plan.
Anything beyond the plan, such as extra decoration or equipment, is quoted separately before it is added. It takes deck space and can reduce capacity, so tell us the group size.
A day charter carries up to thirty guests, and an event of that size is a day-charter event. An overnight party is limited to 14 on the boat price and 18 at most with extra beds.
Request in, quote out: how an extra is added
Every extra follows the same path. You message us on WhatsApp with the date, the number of guests and what you have in mind. We reply in writing with a figure and what it covers. You approve the figure, and only then is it added to your invoice.
- Send the date, the head count and the request.
- Receive a written quote with the figure and the terms.
- Approve it, and the extra joins the invoice.
- Pay with the rest, by the method you choose.
Give us 30 days for anything beyond the printed plan. Our hours are Daily 08:00–20:00 (WITA), and a message sent outside them is answered when the line opens. A change of date asks for a fresh written line.
FAQ
Can you arrange a birthday dinner or an event aboard?
Yes, on request. A dinner on the long outdoor table or a toast at sunset fits the plan. Anything larger takes deck space and can reduce capacity, so tell us the group size, and we quote the arrangement before it is added.
Can I see the menu in advance, and will you confirm vegetarian, halal or allergy needs?
The menu is confirmed closer to the date. Tell us your needs in writing, and we pass them to the kitchen and ask for confirmation. Nothing is certified. Meals are three a day with coffee and a snack.
If I bring my own alcohol, can you confirm it stays cold?
