How to book a phinisi in Labuan Bajo: send us your dates and party size on WhatsApp, get a written quote, and secure the date with a 50 percent deposit. The balance for Neptune falls due 30 days before sailing, or you can pay it in cash or by card machine on departure day.
A held date in four steps, starting from one message
You book Neptune on WhatsApp in four steps; there is no website checkout. We answer Daily 08:00–20:00 (WITA).
- Step one: message us with the dates you want, the number of guests, and whether you want the whole boat or a cabin seat. Add the trip length if you know it.
- Step two: we reply with a written quote showing the boat sum or the seat fare and every line beside it, so you can see what the price includes and what is billed separately.
- Step three: you pay the deposit, and the date is held once it arrives.
- Step four: you send the guest details listed below, and we confirm the plan, the pickup and the cabins.
Until the deposit lands, nothing is held. A quote stays a quote, and a date only becomes yours at step three.
For a cabin seat, step two includes a live check of the date, since seats sail on set dates and each is confirmed on WhatsApp before you pay.

Deposit now, balance thirty days before sailing
The deposit is 50 percent of the booking, and the balance is due 30 days before sailing. Alternatively you can settle the balance in cash or by card machine on departure day, with 3 percent added for the card machine.
So the schedule has just two dates: when you pay the deposit, and when the balance falls due.
Refunds on cancellation depend on how much notice you give. At 60 days or more before sailing, 50 percent comes back to you; at 30 to 59 days, 25 percent. Inside 30 days there is no refund.
The 2026 rates on this page are dated 4 November 2026. For 2027 we quote on request, and you can reserve a 2027 date now against the 2026 reference. If the 2027 card turns out different, we tell you before the final payment and you decide.
We recommend travel insurance; it is not included.

Deposit 50% to confirm, balance 30 days before departure. You can also settle the balance in Labuan Bajo on the departure day, in cash or by card on the EDC machine.
Foreign cards, PayPal, transfers: channels, fees and our receiving account
There are several ways to pay, and we state the fee for each before you choose.
- Card link: 3 percent.
- PayPal: 7.2 percent.
- Card machine on departure day: 3 percent.
- Wise, Revolut, QRIS and bank transfer: sent to one bank account, which is printed on the invoice.
Alipay is accepted, with the fee borne by the guest, and WeChat Pay works through our payment partner. We do not promise UnionPay, so ask us first if that is your only card. Your own bank can add charges for a foreign payment, which we can neither see nor control.
Always check the receiving account against the invoice. The company is PT Komodo Explorer Indonesia, NIB 1805260128363. Your booking runs through one official WhatsApp conversation and one bank account on the invoice; if a message asks you to pay anywhere else, stop and ask us.
No fee is listed for Wise, Revolut, QRIS or bank transfer, and we confirm the total in writing before you pay.

A date that moves, a hull that cannot sail
Plans change, and occasionally a boat cannot sail. Both cases have short rules.
Moving your date is free if you tell us 30 days or more before sailing. Between 14 and 29 days out, a reschedule fee of IDR 500,000 applies. Inside 14 days, a change counts as a cancellation and the refund scale above applies.
When the boat is the problem, the obligation is ours. We supply a boat of equal or higher class on the same date at no extra charge, or, if that does not suit you, a full refund within 2 days. Before you decide, we describe the replacement in writing: its cabins, its balconies and the length of its hull.
Weather is treated separately. The captain and the harbour authority decide together whether a departure is safe, and no boat sails when they judge conditions unsafe. You can then take a new date or the refund set out in the terms.
Every phinisi also spends time in dock once a year for maintenance. If Neptune is in dock on your dates, we offer a boat of the same class.
What we ask from each guest before boarding
Before anyone boards, we need a few details from each guest. Please send them on WhatsApp in writing, so they are on record.
- Full name exactly as it appears on the passport.
- ID or passport number.
- Nationality.
- Arrival and departure flight times, and the name of your hotel in Labuan Bajo.
ID papers are due 7 days before sailing.
Send two more things with them. First, any dietary needs, in writing; we pass them to the kitchen, though nothing is certified. Second, which cabins you plan to use, since each cabin has one double bed and the only separate beds are the extra beds in the upper cabins.
Children aged 0 to 2 travel free, and the full fare applies from age 3.

As soon as your dates are firm, because dates do fill. You can reserve 2027 now: rates are on request, with the 2026 list as the reference. If the 2027 card differs, we tell you before the final payment and you decide.
