What we keep about you, and for how long

Updated 4 November 2026

Neptune's reservation team collects only what a voyage needs: your name, contact details, passport or ID details for the manifest, and flight times. This page says who reads them, how long a message stays on file, and how to have your details corrected or erased on WhatsApp.

Details we ask for when you write

A booking needs less than people expect, and we ask for no more. When you write, we see your WhatsApp number and the name on your profile. To quote and plan, we ask for the dates you want, the number and ages of guests, your flight times and any food or mobility needs you choose to share.

Once you book, the manifest needs more. For each guest we ask for the name as printed on the passport, nationality and the passport or ID number, and we ask for them 7 days before sailing. Harbour and park paperwork is written from that list, and a misspelt name there causes delay on the quay.

Payment details are different. Use the payment link, the card machine or the bank account on your invoice, and please never send a card number in a chat. If you send one by mistake, tell us and delete the message.

Health information is yours to give. Share an allergy or a medical need only if you want the kitchen or the crew to plan for it.

Who reads a message, and the months it stays on file

Your messages are read by the reservation team of Komodo Explorer, PT Komodo Explorer Indonesia, and by nobody outside the team. We do not sell your details.

Some details travel on, and only as far as the voyage needs. The captain receives the guest list, because a boat cannot sail with an unknown passenger list. The harbour authority and the national park receive names and nationalities where their paperwork asks for them. Payment providers and your own bank see the payment itself.

A conversation that never became a booking stays on file for a limited time and is erased on request. A confirmed booking is kept for as long as Indonesian bookkeeping rules require, because an invoice is a company record, not a chat.

This site does not ask you to open an account. The form on the contact page builds a WhatsApp message in your browser, and the message reaches us only when you press send.

Having your information corrected or erased

Your details are yours. Write to us on WhatsApp and say what you want done: correct a spelling, update a flight, or erase a conversation.

A correction is made at once, since the manifest depends on it. An erasure removes the chat and the notes we hold, with one exception: records that Indonesian law asks a company to keep, such as an invoice and its payment, stay as records and nothing more.

Tell us which number you wrote from, so we can find the right thread. We confirm on WhatsApp when the change is done, in plain words and in the language you wrote in.

If we change this page, the change takes effect on the day it appears, and no earlier. A booking you made before the change is covered by the page as it read then.
